1. Who is responsible

2. What we collect

• Contact details you give us: name, phone number, email address, country, and what you tell us about your situation, whether on a form here, on WhatsApp, by phone or by email.
• Order details: the service you chose, your IRCC application or UCI number where you have one, the IRCC office involved, payment references and the status of your request.
• Documents you upload or send for your order: your passport bio-data page, the refusal or decision letter, and the signed consent form that authorises the records request. These contain personal data such as your date of birth and passport number.
• The records IRCC releases in answer to your request, which we receive in order to deliver them to you and, if you ordered it, read them with you.
• Account data if you sign in: your email address and sign-in events.
• Messages to the AI assistant on this site, which are processed to produce the answer and should not contain documents or identifiers.
• Technical data: pages visited, device and browser type, approximate location from your IP address, and, through Microsoft Clarity, recordings of how a page is used (clicks, scrolling, typing is masked).

3. Why we use it

• To prepare, file and track your records request and deliver the result.
• To contact you about your order by email, phone or WhatsApp (WhatsApp updates only if you opted in).
• To take payment, issue a GST invoice and keep the accounting records Indian law requires.
• To call you back when you ask us to, and to answer your questions.
• To keep the site secure, prevent abuse, and understand how pages are used so we can improve them.

4. Who it is shared with

We share personal data only to do the above, and never sell it.

• Immigration, Refugees and Citizenship Canada (IRCC): your request, your consent form and the identity details it needs, so that it can release your records.
• Payment processors: Cashfree Payments and Razorpay take your payment on their own secure pages. We never see or store card numbers; we keep the transaction reference.
• Service providers that run the site for us: Supabase (database, sign-in and private document storage), Vercel (hosting), Resend (email delivery), Cloudflare (bot protection on forms and cookieless visit statistics), Microsoft Clarity (page-use recordings), Anthropic (the model behind the AI assistant), and WhatsApp (messages, where you use it). Each processes data on our instructions under its own security terms, and some are outside India.

5. How long we keep it

Documents you upload are stored in private storage, reachable only through short-lived signed links, and are used only for your order. We keep order records, invoices and payment references for as long as Indian tax and company law require. Once your order is complete you can ask us to delete your uploaded documents and the released records from our systems, and we will, unless a legal obligation prevents it. Call-back and enquiry details are kept only as long as needed to respond.

6. Your rights

You can ask us what personal data we hold about you, have it corrected, have it deleted, or withdraw a consent you gave, by writing to info@caipsnotesapply.com from the email address on your order. We answer within a reasonable time and verify that the request comes from you. These rights follow India’s Digital Personal Data Protection Act, 2023, and apply wherever you live.

7. Cookies and similar tools

We use the cookies needed for signing in and for the bot check on forms, and Microsoft Clarity’s cookies for page-use recordings. Cloudflare visit statistics use no cookies. We do not use advertising cookies and do not track you across other sites. Your browser lets you block or delete cookies; signing in needs them.

8. Security

Data travels over encrypted connections, documents sit in private storage with access limited to your account and our team, and payment card data never reaches our systems. No system is perfectly secure; if a breach affects your data we will tell you and the authorities as the law requires.

9. Children

Our services are for adults. A request about a child’s file is made by a parent or guardian, who gives us the child’s details for that purpose only.

10. Changes and contact
